Questions about EveryRing
What it does on a call, what it costs, where your customers' details go, and the things it does not do yet. If your question is not here, ask us and we will add it.
How it works
Will my callers know they are talking to an AI?
Yes. It introduces itself as your business's AI assistant at the start of every call. It answers as your business, by the name you choose, and if you record calls it says so.
How does it know about my business?
From the profile you publish in your portal: your services, hours, service area and any prices you choose to list. It answers only from that. Anything it has not been told, such as a price you have not published, becomes a callback that it writes down for you, never a guess.
Does it actually book the job, or take a message?
It books. It checks your diary for a time that is genuinely free and holds the job in it, so nobody else can take that time. By default a person on your team then confirms it before the customer is sent a confirmation; you can turn that off and let it confirm on its own. If you run more than one van, chair or room, it books onto one that is free, so two jobs cannot land on the same one. It works with its own diary or your Google Calendar, and it can also read busy times from any calendar that offers an iCal link.
Does it confirm bookings without me?
Not unless you want it to. By default it reserves the time and tells the caller: "I have reserved a slot for you in our calendar. A staff member will review it and get in touch if there are any changes. Once it is confirmed, you will get a confirmation text." You see the booking on your bell straight away and can confirm it, move it or decline it. The confirmation text, the email if they asked for one, the reminders and the entry in your Google Calendar all wait until you confirm. If nobody has confirmed it after two hours, and again the evening before the job, it reminds you. It never confirms itself.
One exception: an emergency where you took the transfer on that call. You have already agreed the job with the customer, so it is confirmed then and there. If you would rather every booking confirmed on its own, that is one setting in your business profile.
Does it allow for the drive between jobs?
Yes, on every plan. When it books a job next to another one, it works out the drive between the two addresses for the time of day it happens, so it will not offer a slot the van cannot reach in time. A crossing of town at five on a Friday gets more room than the same trip mid-morning. How drive times work explains what it uses and what it does not.
How does it decide whether a job is in my area?
From the areas you draw in your profile, by postal code, or a distance you set from your base. If a caller is outside it, the assistant says so kindly and offers a callback rather than booking a job you would have to turn down.
Can it get things wrong?
Yes, the way a person taking a message can: a name spelt wrong, a digit missed. So it reads the number and the address back to the caller, and when an address cannot be confirmed as a house it can find on a map it reads it back again before booking. Every booking is checked against your diary and hours, so it cannot double-book you or book a time you do not offer.
Treat what it captured as a starting point and check the details before you rely on them. You and your staff can correct anything in the portal. The terms say exactly what is and is not guaranteed.
What happens with an emergency?
On Growth and Pro it rings your phone, tells you who is holding and what has happened, and connects them only when you press 1. You decide what counts as an emergency in your profile. On every plan, the call and what was said are on your dashboard straight away.
Can I read or listen to the calls afterwards?
Every plan keeps a written transcript of each call, so you can read what the caller actually said. Pro also keeps the recording for 90 days, if your recording setting allows it, for when the words are not enough. If you often need to check details, Pro is the plan we recommend.
Plans and paying
Am I tied in?
For as long as the plan you bought runs, and no longer. A month is a month: stop renewing whenever you like and it ends when that month does. Paying yearly is a year, which is what the two free months are for, and you can move UP mid-year at any time paying only the difference.
There is no way to stop a term part way through, and we would rather say that here than have you find out on the day. There is a full refund if you tell us in your first month, unless you had a trial of 30 days or more: a long trial IS the month you would otherwise be refunded, and paying at the end of it is the decision. The terms say it precisely.
What counts as an answered call?
A call the assistant actually picks up and handles. Your own test calls from the portal do not count against your allowance.
Do I need a new phone number?
No. Your number stays yours. You forward it to us when you cannot answer, and you can stop forwarding at any time.
What if we are busier than the Pro plan?
Then a tier is the wrong shape and we should talk: more calls, more numbers, more vans or chairs, priced for what you actually run.
Can we try it before paying?
Yes. The trial runs on the calls you are already missing, you can read every call it answered, and at the end you get the numbers: calls answered, leads captured, what it was worth.
Your customers and their data
Where is my customers' information kept?
Your records come to rest in Canada: the database, every transcript and our copy of every recording. The live conversation passes through the United States, because the phone network and the models that run the assistant are there. The privacy page lists each kind of service involved and where it is.
Will it send marketing to my customers?
No, and it cannot. The product has no way to send promotional messages: the only texts and emails that leave are replies, confirmations, reminders and, if you turn it on, one review request after a job. It only ever texts a number that contacted you first, and anyone who texts STOP is not texted again.
Can I export my customer list?
No. There is no bulk export, deliberately: a number collected for a reminder stays collected for that reminder. You can see and correct every record in the portal, and erase everything about one caller yourself.
What it does not do yet
Does it speak French?
Not yet. It answers in English only. If most of your callers speak French, it is not the right fit today, and we would rather you knew that before signing up.
Does it connect to Jobber, Housecall Pro or ServiceTitan?
Not yet. It books into its own diary or your Google Calendar. If your schedule lives in field-service software, the bookings would not appear there by themselves, and you should know that before you choose.
Still deciding?
Hear it answer as your business. We set it up with your hours and your services and you ring it yourself, which is a better basis for a decision than any page. The prices are on the pricing page.
